Can My University See My Copilot History?

If you use Microsoft Copilot signed in with your university or college account, can the institution see your chat history? It is one of the most searched AI privacy questions from students and trainee teachers. Here is the straight answer.

The short answer

If you sign in to Copilot with your university or college Microsoft account, your chats are treated as the institution's data, not your personal data. The institution's IT administrators can see that you used Copilot, and depending on how they have configured Microsoft 365, they can retrieve the content of your interactions through the same audit and eDiscovery tools used for email and Teams.

That is not the same as someone reading your chats for interest. Those tools are used for legal, compliance and investigation purposes — a data request, an academic misconduct case, a safeguarding concern.

What protects you on an institutional account

Institutional accounts usually come with enterprise data protection. That means your prompts and responses stay within the institution's Microsoft environment and are not used to train Microsoft's underlying models. In data terms, that is better protection than a free personal account.

What about academic integrity?

Many students worry that Copilot history could be used to check for AI use in assessed work. The honest position:

• Institutions generally do not trawl Copilot logs routinely.
• In a formal misconduct investigation, logs could be relevant evidence, subject to the institution's policies.
• The safest approach is simple: follow your institution's AI rules for each assessment and declare AI use where required.

What if I use a personal Microsoft account?

Your university cannot see a personal account's Copilot history. But personal accounts do not have the institution's enterprise data protection, and uploading anything confidential — research data, placement school information, pupil details — to a personal account can breach data protection rules. That matters especially for trainee teachers on placement: pupil information must never go into personal AI accounts.

Quick rules of thumb

• Assume institutional-account AI use can be retrieved if there is a legitimate reason.
• Use your institutional account for institutional work — it has better data protection.
• Never put other people's personal data into a personal AI account.
• Follow and declare AI use according to each assessment's rules.

Can I delete my Copilot history?

You may be able to clear conversations from your own view, but on an institutional account that does not necessarily remove them from the institution's records if retention policies apply. Assume that anything you type into an institutional AI tool could be retained, in the same way as institutional email.

What about Copilot inside Word or Teams?

If your institution has paid Microsoft 365 Copilot licences, Copilot can work inside Word, PowerPoint, Outlook and Teams using files you have access to. The same principle applies: those interactions are institutional data. The practical rule is to use Copilot for institutional work the way you would use institutional email — professionally.

Placement schools and pupil data

Trainee teachers should be especially careful. Your placement school's pupils are not your institution's data subjects in the usual way, and your university's AI arrangements may not cover them. Keep pupil data out of AI tools unless your placement school's policy explicitly allows it, and ask your mentor.
