AskColin is an AI training and support service for UK primary schools, operated by AskColin Ltd. We are the data controller for personal data collected through this website.

If you have any questions about this policy or how we handle your data, please contact us at neil@askcolin.uk.

What AskColin does not hold: We do not hold, store or process any school data, pupil data or staff personal data. We have no access to your MIS system, CPOMS, assessment records or any internal school systems. The only personal data we hold about you is your contact information provided through this website or by email.

2. What data we collect

We collect personal data in the following ways:

Contact form submissions

When you submit our contact form, we collect your name, email address, school name, and the content of your message. This data is stored securely by Netlify and emailed to us so we can respond to your enquiry.

Website analytics

We may collect anonymised data about how visitors use our website — including pages visited, time on site and geographic location at country level. This data is aggregated and does not identify individuals.

Email correspondence

If you email us directly, we collect and store the personal data contained in that correspondence in order to respond to you and manage our relationship.

3. How we use your data

We use the personal data we collect for the following purposes:

• To respond to your enquiry or request
• To provide our services to your school
• To send you information about AskColin that you have requested or that we believe may be relevant to you based on your enquiry
• To improve our website and services
• To comply with our legal obligations

We do not use your data for automated decision-making or profiling.

• Legitimate interests — responding to your enquiry and managing our business relationship with your school
• Contract — where we have entered into or are in the process of entering into a service agreement with your school

We retain personal data only for as long as necessary for the purpose it was collected:

• Contact form enquiries: up to 2 years from the date of enquiry, or until you ask us to delete it
• Client school data: for the duration of our service agreement plus 2 years
• Financial records: 7 years as required by HMRC

6. Who we share your data with

We do not sell, trade or rent your personal data to third parties. We may share data with:

• Netlify — our website host and form processing provider (processes form submissions)
• Google — for website analytics (anonymised data only)
• Email service providers — to deliver email communications

All third-party processors are contractually required to handle your data in accordance with UK GDPR.

• Access the personal data we hold about you
• Rectification of inaccurate or incomplete data
