Good Copilot training for staff is short, hands-on and built around their own work: replying to emails in Outlook, recapping Teams meetings, drafting in Word, making sense of a spreadsheet in Excel. The Copilot Kick-start does exactly that in one 2-hour session for up to 15 people, for £395, online anywhere in the UK or in person in West London.
Short answer: Most businesses already have Copilot Chat at no extra cost, and some have paid for Microsoft 365 Copilot licences that hardly get used. Staff need three things: to know which version they have, to practise on tasks they do every week, and clear rules about data. Check file permissions before a wider rollout, because Copilot can surface anything a person already has access to.
I'm Neil, a West London-based AI and technology specialist. Below: what Copilot training should cover, app by app, and how the fixed-price Kick-start works.
What's the difference between Copilot Chat and Microsoft 365 Copilot?
Sort this out first, because staff are often unsure which Copilot they have.
Copilot Chat: included with your Microsoft 365 business plan
Microsoft says Copilot Chat is "included at no additional cost with eligible Microsoft 365 plans." It's a web-grounded assistant, good for drafting, rewording, summarising text you paste in, and research. With a work account, it has Microsoft's enterprise data protection. Microsoft states that prompts and responses stay within the Microsoft 365 service boundary and are not used to train the underlying models. That makes it far safer for work than personal AI accounts.
Copilot Chat also sits in the side of the Microsoft 365 apps. In Outlook, Microsoft says it can answer questions about your inbox, calendar and meetings, with "limited data".
Microsoft 365 Copilot: the paid add-on
Microsoft 365 Copilot Business is the paid licence. It works inside Word, Outlook, Teams, Excel and PowerPoint and draws on your own emails, files, chats and meetings, so it can answer "what did we agree with this supplier?" or "summarise the latest on this project" from your actual work. At the time of writing (October 2026), Microsoft's pricing pages show Copilot Business from £13.80 per user per month on an annual plan as a limited-time offer, against a usual price of £16.10, excluding VAT. It's an add-on to a Microsoft 365 Business plan, for organisations of up to 300 users, and there are bundles that include it. Prices and offers change often, so check Microsoft's UK pricing before you buy.
You don't need to license everyone: many businesses give paid Copilot to the heaviest email and meeting users and Copilot Chat to the rest. For a side-by-side with Gemini, ChatGPT and Claude, see which AI is best for a small business and how much AI costs a UK small business.
Why do Copilot licences go unused without training?
Because a blank chat box doesn't tell anyone what to do with it. Most staff try Copilot once, ask something vague, get a vague answer and go back to the old way, while the invoice keeps arriving. The usual reasons are:
- No obvious first task. People don't see where it fits in their day, so no habit forms.
- Weak prompts. "Write an email to the client" gets a generic result. Specific instructions get something usable.
- Worry about getting it wrong. Unsure what's allowed, staff avoid it or use it without rules.
- Not knowing what they've got. Someone with only Copilot Chat looks for meeting recaps that need the paid licence and decides "it doesn't work".
Training fixes all four in one go. I've written more about this in AI training for your team: what actually works and getting your team confident without technical training.
What does good Copilot training cover, app by app?
Here's what I cover, adjusted to the licences you have.
Outlook: email triage and drafting
This is where most time goes, so we start here. With Microsoft 365 Copilot, staff learn to summarise a long thread before replying, draft a reply from a few bullet points, adjust the tone of a tricky email, and ask what needs their attention from a particular person or project. With Copilot Chat, they paste in a message, get a draft back and keep personal data to a minimum.
Teams: meeting recaps and actions
Meeting recaps often win people over, but the licence detail matters. Using Copilot inside Teams meetings needs a Microsoft 365 Copilot licence. Microsoft also notes that intelligent recap is available with Teams Premium, which is a separate add-on. Microsoft says transcription isn't required to turn Copilot on during a meeting, but without a transcript you can't ask Copilot about what was said once it ends, and the Recap tab won't have it. Staff need to know to start transcription, and to tell attendees. There's more in using AI for meeting notes and actions.
Word: first drafts and summaries
Copilot in Word can draft from a brief or an existing file, summarise a long report, and rewrite for a different reader. We practise turning rough notes into a proposal or process document, and checking every fact before it goes anywhere.
Excel: understanding data without formulas
Copilot can suggest formulas, explain what the data shows, highlight trends and build a summary. It works best on a tidy table with clear headings, so we cover how to prepare a sheet, and why you still check the numbers.
PowerPoint: from document to deck
Copilot can create a draft presentation from a Word document or a prompt, and summarise a deck you've been sent. The value is a fast structure you then make your own.
Copilot Chat: research and thinking
Everyone has Copilot Chat, so everyone should use it well: researching a supplier, comparing options, preparing for a difficult conversation. We cover giving context, asking follow-ups and spotting when it's confidently wrong. The principles in how to write AI prompts for business apply directly.
Copilot Kick-start: £395
- A 2-hour hands-on session for your team, for up to 15 people
- A 15-minute call beforehand to pick three real tasks from your business
- A check of your Copilot setup: who has Copilot Chat, who has Microsoft 365 Copilot, and what's switched on
- Safe-use rules, then hands-on practice on your own tasks in Outlook, Teams, Word, Excel and PowerPoint
- You keep a 20-prompt starter library tailored to your business, a one-page AI safe-use policy for staff, and 2 weeks of email support
- In person anywhere in West London at no extra cost, or online anywhere in the UK
Which Copilot prompts should staff learn first?
Start with weekly tasks. These are typical starters; those needing the paid licence are marked.
| App | Task | Example prompt |
|---|---|---|
| Outlook | Catch up on a long thread | "Summarise this thread in five bullet points. List any decisions, open questions and anything I've been asked to do." (paid licence) |
| Outlook | Draft a reply | "Draft a reply accepting the Tuesday 10am slot, asking for the floor plan by Friday, friendly but brief, under 100 words." |
| Teams | Meeting recap | "List the actions agreed in this meeting, who owns each one and any deadlines mentioned." (paid licence, transcription on) |
| Word | First draft from notes | "Turn these notes into a one-page proposal for a small business client. Use plain English, headings and a short pricing section I can fill in." |
| Excel | Make sense of data | "Which five customers had the biggest drop in orders compared with last quarter? Show it as a table." |
| PowerPoint | Deck from a document | "Create a 6-slide presentation from this file for our team meeting, with one key message per slide." |
| Copilot Chat | Research | "I'm choosing a payroll provider for a 12-person business in the UK. What questions should I ask, and what are the usual pitfalls?" |
| Copilot Chat | Prepare for a conversation | "Help me plan a calm conversation with a client who is unhappy about a delay. Suggest an opening line and three points to cover." |
In the Kick-start, your 20 prompts are written around your own tasks and tone.
What should you check on permissions before a Copilot rollout?
Microsoft's own guidance says Copilot grounds its answers "in the data users already have permission to access." Copilot doesn't give anyone new access. But in many small businesses files are shared more widely than anyone realises: a SharePoint site open to "everyone", a salary spreadsheet in a shared folder. Before Copilot, nobody stumbled across them. Now a simple question can bring them up.
Microsoft's blueprint for preventing oversharing recommends identifying high-risk sites and files, restricting access, fixing access problems and improving data hygiene. A small business version:
- Find the sensitive stuff. HR, payroll, contracts, client personal data, board or partner documents.
- Check who can open it. Look at SharePoint sites, Teams and shared OneDrive folders, especially anything shared with "everyone" or via "anyone with the link".
- Tighten access. Restrict sensitive files, remove old sharing links, close former staff accounts.
- Start small. Give paid licences to a few people first and see what Copilot surfaces before widening.
If you have an IT provider, ask them to review sharing before adding licences. In the Kick-start I check the basics and flag anything needing a closer look; it isn't a security audit. For the data protection side, see AI and GDPR for small businesses.
Do you need a Copilot safe-use policy?
Yes, and one page is enough. Copilot with enterprise data protection is a far safer place for work than personal AI accounts, but staff still need to know the rules. A good safe-use policy covers:
- Approved tools: use Copilot signed in with your work account, not personal AI accounts, for anything work-related.
- Human check: you read, check and take responsibility for anything Copilot drafts before it's sent, published or acted on.
- Data: share the minimum personal data needed, and never put passwords or bank details in.
- Meetings: tell people when a meeting is being transcribed, and don't transcribe sensitive conversations by default.
- Decisions about people: humans make hiring and performance decisions.
- Who to ask: one named person for questions and for reporting a mistake.
The Kick-start includes a one-page AI safe-use policy for staff. For an example, see the simple AI safety policy for office staff.
How do you measure Copilot adoption?
Measure two things: whether people use it, and whether it saves time on real tasks.
- Check usage. The Microsoft 365 admin centre has Copilot usage reports showing who uses it and in which apps. Use them to spot unused licences.
- Time three tasks. Note how long the chosen tasks take before training, and re-time them a month later.
- Ask the team. A two-minute check-in: which prompt saved you time this week?
- Review licences at 90 days. Move paid licences from people who don't use them to people who would, or cancel them.

Frequently asked questions
How much does the Copilot Kick-start cost?
£395 fixed price for a 2-hour session for up to 15 people. It is the same product as the AI Kick-start Session, focused on Copilot when that is what your business uses. You buy online, then pick a date. There are no hidden extras and no travel charge within West London.
What is included in the Copilot training?
A 15-minute call beforehand to pick three real tasks from your business, then a 2-hour hands-on session covering a check of your Copilot setup, safe-use rules and practice on your own tasks. You keep a starter prompt library of 20 prompts tailored to your business, a one-page AI safe-use policy for staff, and 2 weeks of email support afterwards.
Is the training in person or online?
Either. Sessions are in person anywhere in West London (Hounslow, Richmond, Ealing, Hammersmith and Fulham, Hillingdon, Kingston and Spelthorne) at no extra cost, or online anywhere in the UK over Teams.
How quickly can we book a session?
You can buy online straight away, then pick a date that suits your team. The short planning call happens before the session.
Is there a contract or subscription?
No. The Copilot Kick-start is a one-off, fixed-price session. There is no contract and no subscription.
Do we need the paid Microsoft 365 Copilot licence for this training?
No. If your team only has Copilot Chat, which Microsoft includes at no additional cost with eligible Microsoft 365 business plans, the session covers that. If some or all staff have Microsoft 365 Copilot, we practise inside Outlook, Teams, Word, Excel and PowerPoint as well. A mix of licences is common and fine.
Which tools does the session cover?
This page describes the Copilot version: Copilot Chat and Microsoft 365 Copilot across Outlook, Teams, Word, Excel and PowerPoint. The same Kick-start also covers Google Gemini or ChatGPT if that is what your business pays for, or a mix.
Can Copilot see files staff should not see?
Copilot only uses data a person already has permission to access, but that includes files that were shared too widely by mistake. Microsoft publishes guidance on reducing oversharing, so it is worth reviewing SharePoint, OneDrive and Teams sharing before a wider rollout. We check the basics in the session.
Got a Copilot question first?
Tell me what you're trying to sort out — a tool, a client email, a process, a workload problem — and I'll give you a straight answer.
